Software License View

The Software License View page provides a detailed overview of a selected software license, including license availability, allocation details, compliance status, lifecycle information, and license usage insights.

This page helps users monitor license consumption, track allocation status, manage license distribution, and review software license utilization from a centralized view.

License View | Basic Details

Allocate	Click Allocate to distribute licenses.	Opens the Distribute License sidebar, allowing users to allocate software licenses to individuals, assets, departments, locations, or other supported distribution types.
Software Logo	View-only field; no action can be taken	Displays the logo associated with the selected software or publisher.
Total License(s)	View-only field; no action can be taken	Displays the total number of purchased or available licenses configured for the software.
Available License(s)	View-only field; no action can be taken	Displays the number of licenses currently available for allocation.
Allocated License(s)	View-only field; no action can be taken	Displays the number of licenses already distributed to users, assets, departments, or locations.
Under-Licensed	View-only field; no action can be taken	Displays the number of allocations exceeding the available license count.
Compliance Status	View-only field; no action can be taken	Displays the compliance condition of the software license, such as Compliance or Non-Compliance.
License Based On	View-only field; no action can be taken	Displays the allocation type configured for the license, such as User or Asset.
License Count	View-only field; no action can be taken	Displays the configured license quantity for the software.
License Type	View-only field; no action can be taken	Displays the license category, such as Perpetual or Subscription.
Publisher	View-only field; no action can be taken	Displays the publisher associated with the software license.
License Life Cycle	View-only field; no action can be taken	Displays the software license lifecycle timeline from the effective date to the current or expiry date.
Effective From	View-only field; no action can be taken	Displays the start date from which the license becomes active.
License Usage (Last Year)	View-only field; no action can be taken	Displays a graphical representation of software license usage trends for the last year.

Allocate

The Allocate option allows users to distribute software licenses to different distribution types, such as Individuals, Assets, Departments, Locations, Entities, or Tags. Users can allocate licenses based on availability and track allocation details directly from the Software License View page.

The allocation process updates software usage details, allocation counts, insights, and distributed license records automatically after successful distribution.

How does it work

1. Navigate to the required Software License View page.

2. Click Allocate.

1. The Distribute License sidebar opens.

2. Select the required Distribution Type.

1. Select the target value in the Distributed To field.

2. Enter allocation details such as owner or quantity, based on the selected distribution type.

3. Click Distribute to allocate the license.

After successful allocation:

• License allocation counts are updated.

• Available and allocated license values are refreshed.

• Distribution details are recorded.

• The allocation activity is updated in the audit records.

Distribute License | Allocation

The Distribute License sidebar is used to allocate software licenses to supported distribution targets.

Label	Action	Description/ Example
Distribution Type	Select the required distribution type.	Allows users to choose how the license should be distributed. Supported options include Individual, Department, Location, Asset, Entity, and Tags.
Distributed To	Select the required value.	Displays values based on the selected distribution type. Example: If Location is selected, the location list is displayed.
Owner	Select the required owner.	Allows users to associate the allocated license with a specific owner or requester.
Quantity	Enter the required quantity.	Specifies the number of licenses to distribute. The entered value should not exceed the available license count.

Once added, click Distribute to allocate licenses. This allocates the selected software license to the configured distribution target.

• Allocation is allowed only when licenses are available.

• Expired licenses cannot be allocated.

• Allocation details are reflected in usage insights and distributed license records.

• Multiple license keys can be maintained under a single software license and selected during allocation.

• Users can later deallocate licenses individually or in bulk based on allocation requirements.
