# Users

Users are members of the organization who have been invited to access Infraon. Administrators add users with pre-defined privileges across all modules of Infraon.

## **What you see on the screen**

The button next to the 'Invite user(s)' button allows users to toggle their page views between List View and Card View.

Details displayed are as follows:

* Username
* Mobile
* Role
* Status

Edit and delete action icons are available for each list item or card (on mouse hover).

User status must be 'Active' to log in to Infraon.&#x20;

### **Automatic Asset Deallocation on User Deactivation**

When a User is marked as inactive, they are automatically removed from all associated assets.

* Applies to fields: Owner, Managed By, Used By, and Requester
* A confirmation message is displayed before disabling the user
* All changes are recorded in the Asset Activity Log
* Supported for manual updates, grid updates, and bulk updates via CSV

To manually allocate or deallocate a User/Owner, navigate to the [Asset Details](https://docs.infraon.io/infraon-help/infinity-user-guide/asset/asset-information) page and update the respective fields.

### Invite User

Click on the 'Invite user(s)' button at the top right corner. Enter the mail address(es) and select the role using the dropdown menu. Multiple users and roles can be invited in a single instance.

The invite link expires in 36 hours (it can be changed in settings). To re-invite users, new invites must be sent.

If invites with multiple roles have been sent to the same user, the user will be assigned the role associated with the link used to register first.

#### **Instructions to 'Invite a User'**

* Go to Infraon Configuration -> User Management -> Users.
* Click on the 'Invite User(s)' button.

Click 'Invite' to mail the invites. Administrators and other privileged users can see the status of pending invites and resend them using the pending notifications icon.

**Group by asset data based on End User / Requesters and owner technician**

Group Users and Requesters by Asset Data! Easily categorize users and requesters based on mapped asset tags for streamlined management.

Though editing or deleting users is possible, adding users is only done through 'Invite'.

### **License Control for User and Requester Sync**

Infraon enforces user and requester license limits during all sync operations. When the license capacity is reached, new entries are blocked, while existing records continue to update.

#### **Sync Behavior**

* New users/requesters cannot be created once the license limit is reached.
* Existing users/requesters are updated normally.
* A message is shown when sync attempts exceed the allowed limit.
* The system prevents partial or inconsistent user creation.
