Add Purchase Requisition

To add a new Purchase Requisition, click + Add Purchase Requisition available at the top-right corner of the Purchase Requisition page.

In Purchase Requisition, there are three tabs available for configuration:

  • Purchase Requisition Properties

  • Item Details

  • Terms and Conditions

Purchase Requisition Properties | Basic Details

The Purchase Requisition Properties tab is used to configure PR information, contract references, vendor details, requester information, and procurement-related configurations before adding line items and submitting the PR.

Title

Enter the title

Used to provide the title or summary for the Purchase Requisition. Example: Laptop Procurement for the IT Team.

Currency

Select a currency from the dropdown

Used to define the transaction currency for the Purchase Requisition.

Example: USD, INR, or EUR.

Status

Select a workflow status from the dropdown

Displays and manages the Purchase Requisition's current workflow state. Example: Draft, Waiting for Approval, or Approved.

Status Date

Select the date

Displays the current workflow status date associated with the Purchase Requisition. Example: 21 May 2026.

Priority

Select the priority from the dropdown

Used to define the priority level of the Purchase Requisition. Example: Low, Medium, High, or Critical.

Location

Select a location from the dropdown

Used to associate the Purchase Requisition with a specific branch or operational location.

Requested By

Select a requester from the dropdown

Used to define the user requesting the Purchase Requisition.

Requested Date

Select the requested date

Used to define the date on which the Purchase Requisition was requested. Example: 20 Mar 2026.

Required Date

Select the required date

Used to define the expected procurement or delivery date for the requested items or services.

Example: 28 Mar 2026.

Reporting Manager

Select the reporting manager from the dropdown

Used to associate the requester’s reporting manager for approval or tracking purposes.

Description

Enter the description

Used to provide detailed information about the Purchase Requisition requirement. Example: Procurement request for employee onboarding laptops and accessories.

Contract Reference

Contract Type

Select the contract type from the dropdown

Used to associate a contract category with the Purchase Requisition. Example: AMC, Service Contract, or Procurement Contract.

Contract Reference

Select the contract reference from the dropdown

Used to map an existing contract reference associated with the Purchase Requisition. Example: AMC-2026-001.

Contract Revision

Enter the contract revision

Used to define the revision version of the associated contract. Example: Revision 2 or v1.1.

Vendor Details

Vendor

Select a vendor from the dropdown

Used to associate the vendor with the Purchase Requisition.

Example: Dell Suppliers, Cisco Distributor, or HP Vendor.

Payment Terms

Select payment terms from the dropdown

Used to define payment conditions associated with the Purchase Requisition. Example: Net 30, Advance Payment, or Quarterly Payment.

Ship Via

Select the shipping method from the dropdown

Used to define the shipment or delivery method for the requested items. Example: Courier, Air Freight, or Direct Delivery.

FOB Point

Enter the FOB point

Used to define the Freight On Board location or shipment transfer point. Example: Bangalore Warehouse or Chennai Port.

Type

Select the requisition type

Used to define whether the Purchase Requisition is for internal or external procurement. Example: Internal or External.

Pay Tax To Vendor

Enable or disable the toggle

Used to define whether applicable tax payments should be made directly to the vendor.

Pay On Receipt

Enable or disable the toggle

Used to define whether payment should be processed upon receiving the requested items or services.

Inspection Required

Enable or disable the toggle

Used to define whether the requested items require inspection before approval or acceptance.

Next

Click Next

Cancel

Click Cancel

Cancels the Purchase Requisition creation process without saving changes.

Click Next to proceed to the Item Details tab for configuring line items, procurement costs, and related item information.

  • Fields marked with an asterisk (*) are mandatory and must be completed before proceeding.

Item Details | Basic Details

The Item Details tab is used to add and manage line items associated with the Purchase Requisition. Users can configure procurement-related item information required for the procurement process.

The Item Details section allows users to configure:

  • Item Name

  • Item Type

  • Category and Sub-Category

  • Quantity

  • Unit Cost

  • Tax Rate and Tax Amount

  • Loaded Cost

  • Conversion Factor

  • Consignment Details

  • Order Unit

  • Model Details

  • Commodity Code

  • Vendor-related Item Details

  • Custom Line Item Fields based on field configuration and RBAC permissions

Users can:

  • Add line items manually using the + Add Item option

  • Upload multiple line items using the Upload as CSV option

  • Download a predefined CSV template using the Download Sample CSV option

  • Configure visible line item columns based on permissions and field configurations

  • View calculated values such as Subtotal, Tax, and Grand Total

After configuring the required line item details, click Next to proceed to the Terms and Conditions tab.

Terms and Conditions | Basic Details

The Terms and Conditions tab is used to configure shipping details, billing information, and procurement terms associated with the Purchase Requisition. Users can define delivery addresses and apply predefined terms and conditions required for procurement processing.

Shipping Address

Enter the shipping address details

Specify the delivery address for the requested items. Example: Infraon Technologies, Bangalore Office, 5th Floor, MG Road, Bengaluru – 560001

Billing Address

Enter the billing address details

Specify the billing or invoice address associated with the Purchase Requisition.

Same as Shipping Address

Check to copy the shipping address into the billing address field

Automatically copies the Shipping Address details into the Billing Address field.

Terms and Conditions

Select the required terms and conditions from the drop-down

Used to apply predefined procurement terms for the Purchase Requisition. Click here to configure Terms and Conditions.

Fields marked with an asterisk (*) are mandatory and must be completed before submitting the Purchase Requisition.

Once all required details are configured, click Submit to complete the Purchase Requisition.
